Responsible vs. Informed Workflow Email Delivery

Note: This article refers to workflows in GRC Cloud. If you're looking for information on Perspective Workflow, visit the Perspective section.

Question:

If it’s 8:15 and a workflow goes from State A to B, shouldn’t an email should be generated to go out at noon (every 4 hours) to the person in State B?

Will the person responsible in State B still get an email at noon if the state goes from B to C at 9:30?

Answer:

You will receive emails for all items that are currently in the state/transition you’ve been setup to receive emails for.

Scenario 1:

Item goes from State A to State B, which generates an event (generates a flag for an email to be sent for that transition) for that user.

Item goes from State B to State C, which generates an event (generates a flag for an email to be sent for that transition) for that user.

For responsible emails, the user will receive one event, advising the item went from B to C.

For informed emails, the user will receive all events, advising the item went from A to B, then B to C.

Scenario 2:

Item goes from State A to State B, which generates an event for that user.

Item goes from State B to State C, and this does not generate an event for that user.

For responsible emails, the user will receive no email for that workflow.

For informed emails, the user will receive all events in the email, saying the item went from A to B.
