Use the Data Loader to Import Items

Download the Template Spreadsheet

  1. Open GRC Cloud.

  2. Click Administration > Frameworks > Framework Library.

  3. Click the Import from Excel tab at the top-right of the screen.

  4. Click Template Export to download the Excel template that contains the structure for importing items into the Framework library.

  5. Open the spreadsheet.

Note: It's recommended that you download a new template spreadsheet each time you wish to import a risk universe to address any possible changes made to the item types since the last import.

Review the Spreadsheet Layout

Each tab on the spreadsheet represents an item type or sub-type in the site and contains three column colors:

  • Green: Relates to the item you’re uploading.

  • Blue: Relates to the parent you’re mapping an item to (e.g. Audit Tests to Process Controls, Process Controls to Risk events, Risk Events to Risk Type etc.).

  • Purple: Relates to the criteria attached to the item you’re uploading. You may upload criteria information, if available.

Note: Any data input here must match the criteria entered in the site. For example, if you have radio button criteria in the site, the data you populate in the spreadsheet much exactly match that criteria.

Populate the Spreadsheet

When populating the spreadsheet, it’s often easiest to begin from the lowest point of the items you’re importing (e.g. Audit Test).

The order of the tabs on the spreadsheet (left to right) doesn’t matter, provided the children are correctly mapped to their parents (the green columns to the blue columns on each sheet). For example:

Audit Test (often easiest to begin with this tab)

  1. Under Column E in the last tab of the template spreadsheet, enter the name of the item you want added to the site. The name entered here must be fewer than 80 characters.

    Note: It's recommended that you create a Description Criteria and enter the item's full name (if longer than 80 characters) into the system using a new template spreadsheet once an item has been successfully imported.

  2. Optional: Under Column D, enter the number you want to assign to the item in the system.

  3. Under Column G, select Yes if the item is to be multi’ed to different parents. If you selected Yes:

    • List the item twice in Column E.

    • List two different parents in Column C.

    • Select Yes next to both of those items in Column G.

  4. Under Column C, add the parent of the item you’re going to attach.

  5. Under Column B, add the number of the parent (if applicable).

  6. Under Column A, add the item type/subtype of the parent (e.g. Risk Event for Process Control, Process Control for Audit Test, Risk Category for Risk Sub Category etc.).

  7. Open the next tab of the spreadsheet on the left, which is the Parent tab (e.g. the Process Control Tab if you were listing Audit Tests).

  8. Populate the sheet in the tab by following steps 3-6 above.

  9. Once all the items you wish to import have been added, create a Top folder.

  10. For the parent of the highest level you’re importing (the Folder tab), type to following:

    • Under Column E: Enter the name of the item you want to be the top import
    • Under Column C: Enter **TOP**
    • Under Column A: Add the item type this top item will be (usually this is Folder)

  11. Save the spreadsheet onto your computer.

  12. Open GRC Cloud.

  13. Click Administration > Frameworks > Framework Library.

  14. Click the Import from Excel tab on the top-right of the screen.

  15. Click Browse.

  16. Select the import file you just created, then click Import.

    If the import file was completed correctly, the items will appear on the right-hand side of the screen. You will then be able to drag them to the appropriate section of the framework library.

    If the import file contains errors, you will be notified and may download a spreadsheet that will highlight these errors. Once the errors have been corrected, re-import to save your changes.
